When you connect your ledger or CSV, Know-it will run a 'Data MOT' on your ledger and highlight any missing data that could prevent you from monitoring your customers or from sending overdue reminders.
1. How will Know-it flag missing/incorrect data?
1.1: Via 'My Companies' page
- Go to 'My Companies'
- In the 'Alerts' column, you will see how many issues there are, if any.
- Click on the Issue(s) to view more details
1.2 Via the Customer page
- Go to My Companies > Click on a customer name
A red box will highlight a validation issue
- Click on the red box to view more details
1.3 Via the Outbox
- Go to Chase-it > Outbox
- If you have any Failed reminders, Know-it will show you the failure reason, and missing data. See here how to manage failed reminders.
1.4 Via Email alerts
Know-it will automatically send you alerts when your reminders fail to send/will fail to send due to missing data in your ledger
2. Types of issues
💡 To fix those issues, update the details in your accountancy tool directly. Depending on the sync frequency, the updated data will automatically sync between your accountancy software and Know-it. View here the different sync rules based on the different accountancy software.
Invalid company match: To be able to monitor your customers, the platform uses the exact company name and company registration number to match it to a Companies House record. Read more details here.
This will not prevent you from using Chase-it but might impact the platform's ability to monitor your customer
Missing Contact: If you have not added a contact name for your customer in your accountancy tool.
This will not prevent you from using Chase-it
Invalid/Missing email address: This will impact your ability to send email reminders to your customers. Moreover, if the email address is not valid, it may also mean that your customers won't have received your invoice when initially created and sent from your accountancy software.
Invalid/Missing mobile number: This will not impact your ability to send email reminders to your customer but will prevent you from sending SMS reminders
Invalid/Missing postcode on billing address: This will not impact your ability to send email reminders to your customer, but will prevent you from sending letter reminders, and might impact the platform's ability to monitor your customer
Missing address line 1 on billing address: This will not impact your ability to send email reminders to your customer, but will prevent you from sending letter reminders
3. Fixing/Clearing missing data
3.1 Fixing data
Xero/QuickBooks user: Go to your customer record in your ledger and update the missing/incorrect data. Know-it will automatically sync with your ledger and update the data within a few minutes.
FreeAgent/Sage user: Go to your customer record in your ledger and update the missing/incorrect data. Know-it will automatically sync with your ledger the next morning at 4 am and update the data
CSV user: Update your CSV file with the missing/incorrect data and re-upload your CSV.

3.2 Clear issue
If you do not wish to update the data and do not wish to see the issue anymore, you can 'Clear issue'. This will not fix the issue, but it won't highlight it anymore.
